From Monday 18 April at 15:00, exhibitors will be able to place additional orders at the Operations Desk at Onsite price.

Orders will be subject to material availability and technical possibility of the service. Furniture models may be modified by others of similar characteristics, depending on stock.

If your stand is going to consume more than the basics (lights, a couple of chargers, fridge and/or screen), it is necessary to order an additional electrical box with a power equal to or greater than what you will need during the event and the total number of kilowatts necessary to cover the total power of the electrical box. For example: if the stand is going to consume 8 kilowatts of power, it will be necessary to order 10 kilowatts electrical box and 10 extra kilowatts for it to work correctly.

The extra kilowatts are not included in electrical box cost.

All electrical boxes must be ordered with Easyfairs. You may bring your own, but you must use one from Easyfairs as a bridge.

CETAC sockets require a three-phase electrical box.

  • 16 A requires 10 kw electrical box or higher.
  • 32 A and 63 A require a 20 kws electrical box or higher.

You need to send the technical plan with the location of each electrical element before April 5th.

Graphic contract with us includes printing, placement and removal of the graphic. The design must be sent to us by transfer via WETRANSFER to operaciones@easyfairs.com. More information in this document.

 

ASSEMBLY

  • SPACE ONLY: April 15th and 16th from 9:00 to 20:00.
  • STAND ALL IN: April 16th from 14:00 to 20:00.

CELEBRATION: April 17th and 18th 2024.

  • Access to exhibitors:
    • 17 April from 9:00 to 19:30.
    • 18th of April from 9:30 to 21:00
  • Access to visitors from 10:00 to 19:00

DISASSEMBLY:

  • 18th April: you can start collecting and removing merchandise on the 18th afternoon once Exponor security service confirms that there no more visitors left, around 19:30 and until 21:00.
  • 19th April from 9:00 to 12:00.

We recommend that all merchandise that will remain on the stand until morning is packed and properly labelled, and in no case inside the ordered furniture.

Easyfairs reserves the right to change dates and times if deemed appropriate.

Everything in the stand must be collected and ready for collection the next day on April 18th before 21:00.

Easyfairs will not be responsible for any material left inside the furniture ordered or that is not properly packaged and labelled.

It is not possible to extend the assembly time.

Keys to the storage rooms and furniture are left attached inside or on top of the furniture during assembly.

If the key is lost or forgotten at home or at the hotel, the furniture will be unlocked but left open as no new copies will be provided.

Any damage done to the lock or the furniture as a result of trying to pick the lock will be invoiced to the exhibitor.

The plastic carpet is removed the night before the inauguration by Exponor cleaning staff

The gates to the halls will open approximately 30 minutes after the closing time of the hall, and

once the security department is satisfied that there are no more visitors inside the halls.

The organisers have no storage space available within the exhibition grounds. All companies’ material will have to be stored on their stands.

We recommend the purchase of a warehouse or a counter with doors.

The storage of pallets and empty packages is managed directly by exhibitors with Exponor having storage space available on site

The company staff will have to leave the stand material collected for collection the following day

In the event of an electrical issue, please check first that the differentials are turned up.

The cleaning included with your participation includes the removal of the protective plastic prior the opening and a basic cleaning of the stand on the night of the event.

Easyfairs is not responsible for the empyting of bins or waste left by exhibitors or visitors inside the stand, shuch as food packaing, paper, etc.

It is the exhibitors themselves who are responsible for emptying the bin and leaving his stand tidy.

Neither the organisers nor the exhibition centre have a shop for the sale of this type of products (screwdrivers, double-sided tape, hammers, etc.). Exhibitors and assembly companies must come equipped with all the material that they may need during the assembly or holding of the fair.

Vehicles are not permitted to enter the hall. Loading and unloading of material must be done at the docks between the halls and in accordance with the forklift and pallet truck access regulations in the Exhibitor Manual.

Please, make sure that the television is connected to a socket and the electrical box switched on.

The controls are usually behind the screen, although the provider may decide not to leave the controls and go personally to switch on and set up the screen first thing in the morning.

To log in for the first time, you must use the invitation that was sent to your email. If you have not seen it, check that it is not in spam. If it is not, ask your salesperson for it again.

During the build-ip and break-down days, no accreditation is required for company staff to access the venue.

The ticket you received by e-mail when you registered it’s only needed to be redeemed once at the registration desk.

There you will be given a Smart Badge with which you can access the hall on both days of the event.

Exhibitor:

April 16th: from 09:00 to 20:00

April 17th: from 9:00 to 10:00

April 18th: from 9:30 to 10:00

 

Visitor:

April 17th & 18th: from 09:30 to 17:00

The register is located in the central atrium of the venue.

All people with access to the fair (exhibitors, visitors, guests, speakers, etc.) will have to be registered online before accessing the registration desk to check in and receive their Smart Badge.

If you have any questions about SMART BADGE please ask at the Exhibitor Lounge desk.

April 17th from 9:00 to 19:30.

April 18th  from 9:30 to 21:00

On the exhibitor day, April 16th, the Easygo team will distibute readers among the stands, as well as providing you with an explanation of how they work and answering any questions you may have.

Depending on the EasyGo package you sign up for, you can get 1, 2 or 3 readers.

  • Go Leads has 1 reader
  • Go Plus has 2 readers
  • Go Premium has 3 readers.

Readers not returned will be charged at a rate of 500 €.

The information collected will not be accessible to the exhibitor if the readers are not returned or until the cost of the lost readers has been paid.

At the end of the event, the EasyGo team will come by the stands to collect the readers.

If you prefer to return it earlier, you can leave it at the Exhibitor Lounge desk.

Don’t forget to keep the receipt that our staff will give you when you hand in the reader until you receive the data.

You will receive an email with the information within 24/48 hours after the readers have been returned.

You will receive an e-mail at the end of the day with a link to your company profile with all the information you have completed in your My Easyfairs.

Each person registered as staff in your MyEasyfairs will receive an email with a personalised Visit Connect licence to use during the event.

The email includes all the information to activate the licence.
